Workplace Health & Vaccination Policy

1. Purpose & Scope

Soft Studios is committed to providing a safe, productive, and healthy working environment for our entire crew, partners, and visiting clients. This policy outlines our operational stance on workplace health, preventative care, and vaccinations, applying to all team members, on-site creative staff, contractors, and production crews operating under Soft Studios.

2. Policy Framework

Soft Studios follows a Voluntary & Encouraged health protocol designed to respect personal autonomy while maintaining client-delivery continuity and production readiness:

  • General Workplace: Vaccinations (including seasonal influenza, COVID-19, and regional health-advisory vaccines) are strongly encouraged to minimize downtime and prevent transmission within our creative studio and editing bays.

  • On-Site Productions & Client Locations: Team members assigned to on-location video shoots, active client premises, or international projects must adhere to the specific health and vaccination entry requirements mandated by the client, facility, or governing jurisdiction.

  • Remote Flexibility: As a hybrid digital agency, team members experiencing symptoms of any communicable illness are required to work remotely or utilize sick leave until cleared, preventing in-office exposure.

3. Production & Travel Protocols

For live shoots, studio recordings, and client deployments:

  • Crew members scheduled for on-location production must notify production management in advance if they cannot meet a client-mandated health or vaccination requirement so schedules can be reassigned without operational friction.

  • Standard hygiene, sanitary handling of shared camera/rigging equipment, and well-ventilated indoor studio practices remain standard operating procedures across all sets.

4. Privacy & Record Keeping

  • Soft Studios does not retain personal health or medical records unless strictly required for international travel clearances, production compliance, or insurance documentation.

  • Any health-related documentation submitted for accommodation requests or travel verification is treated as confidential and accessed strictly on a need-to-know basis by leadership.

5. Accommodations & Inquiries

Team members with medical conditions, conscientious exemptions, or specific health accommodation requests related to on-site shoots or studio attendance are encouraged to coordinate directly with studio leadership to arrange remote execution or adjusted shift schedules.
